Connecting data sources with connectors

1. Connecting data sources with connectors

In this video, I'll show you how a connector lets your agent pull in real information, starting with your own profile. A customer care colleague wants the agent's answers to fit their role. That role isn't in the agent's instructions. It sits in the company directory, and a connector can fetch it. A connector bridges a flow to a service where data already lives, such as a SharePoint list, an Excel workbook, or a mailbox. Instead of copying values in by hand, the flow reads what it needs when someone asks. This agent flow already starts with When an agent calls the flow.

2. Add a connector action

Select the plus below the trigger to open the action picker, and search for Get my profile. Get my profile comes from the Office 365 Users connector, and it reads the signed-in person's own directory record. Other connectors read data the same way, like Get items for a SharePoint list, or List rows present in a table for Excel. Choose Get my profile V2.

3. Sign in once

The first time you use a connector, it needs permission to reach the service on your behalf. Select Sign in, and the connection is remembered for next time. Get my profile needs no settings, because it reads the record of whoever is signed in. An action like Get items would first ask for a site and a list.

4. Hand the value back

Retrieving data only helps if the agent can use it. Select the plus below the profile step, search for Respond to the agent, and add it.

5. Add an output

Select Add an output, choose Text, and name it JobTitle, as one word. Click the value box and press slash, then choose Insert dynamic content. Search for Job, and pick Job Title under Get my profile V2. That chip is the person's real job title, traveling back to the agent, so it can shape its reply to their role instead of a placeholder.

6. Save the draft

Select Save draft to keep your work. One caution for this course's tenant: SharePoint is read-only here. Reading works, but creating or updating a list item is blocked. So before you add an action, ask whether it reads or writes.

7. Let's practice!

Now add a connector of your own, sign in when it asks, and hand a real value back to your agent.
