Welcome back. In this video, we'll walk through how publishing and sharing workbooks in Sigma works, and why it matters for how your audience experiences your work.
2. Oakmark Bank
Let's say we've finished building a workbook for Oakmark Bank. It's time to share it with leadership, but first, let's talk about what happens behind the scenes when you save, publish, and share your work.
3. Sigma workbook lifecycles
When we first open a new workbook, we're in what Sigma calls an exploration. This is a temporary, private workspace. If we want to keep anything you've built, we'll need to click Save As to create a named workbook.
Sigma is always automatically saving our progress as we work. But those changes live in draft mode. Only you as the author and other people who have editor access can see them.
Our audience sees the published version, which stays fixed until we choose to update it.
4. Sharing and accessing content
Publishing is how we say, this version is ready to share. It gives our users a consistent, polished experience while we continue working behind the scenes. We can preview the published version using the drop down menu next to our workbook title.
5. Sharing and accessing content
Once our workbook is ready, we can click the Share button. We'll be able to select who can view or interact with it. Most organizations separate users into different account types with different levels of access. Some users may only interact with what we've published. Others may be able to go deeper behind the scenes and see the underlying data.
It's important to consider the workbook's primary audience to tailor our design for their experiences.

Remember, since we're working in an sandbox environment, our sharing and navigation options are limited. In another organization, access and permissions may look different. If we're unsure what's possible, we can check with our Sigma administrator.
