In this lesson, we'll explore how to effectively share your reports, set up data alerts to stay informed, and manage access permissions for optimal data analysis collaboration.
Sharing is essential, but staying informed is equally important! Power BI's data alerts functionality allows you to be proactive for your analysis.
Let's say we're particularly interested in monitoring our Trends Summary dashboard’s Avg Session Duration metric. By setting up an alert, we can ensure we're notified if this KPI deviates from our desired goals.
Click on 3 ellipses of Avg Session Duration card and select Manage Alerts.
Click on the Add Alert rule and put in the required condition in the threshold.
Setting up this alert will send an email notification too when the data reaches as per threshold value.
Click on "Save" after configuring the alert.
And now, whenever the website conversion rate deviates from your set threshold and comparison operator, you'll receive a notification, prompting you to investigate and take appropriate action.
Let's say you've created this insightful report on marketing trends and campaign analysis. Sharing these insights with stakeholders is crucial for aligning everyone around your data-driven findings. This can lead to informed decisions, strategic action, and ultimately, campaign success.
To share a report, click on the "Share" button in the top right corner and write the name of your colleague to whom you would like to share this.
Remember, when sharing reports, it's important to control who sees and edits your work.
Click on "Manage Permissions".
This window displays a list of users with access to the report and their permission levels (view or edit). You can adjust these permissions as needed to ensure the right people have the appropriate level of access.
Furthermore, there are four types of permissions of a workspace, Admin->Member->Contributor->Viewer where admin having the highest privileges, and viewer having only view permissions.
By effectively sharing your Power BI reports, setting up data alerts, and managing access permissions, you can maximize the impact of your data analysis. Sharing fosters collaboration and informed decision-making, while alerts keep you proactive and in control of your data.
